Data Ethics Policy

Introduction

The purpose of PowerMatch's Data Ethics Policy is to explain how we work responsibly with data, both from a human and technological perspective. We handle large volumes of candidate and company data every day, and our goal is to use that data to create value and transparency, never exploitation. This policy serves as a shared foundation for everyone working at PowerMatch and as a commitment to the people who trust us with their information.

Scope

This policy applies across the PowerMatch group, including subsidiaries and partners that use our systems or process data on our behalf. Employees, partners, and suppliers with access to PowerMatch data are expected to follow this policy. We review compliance continuously and update the policy as technology and legal requirements evolve.

Our approach to data ethics

Data can create progress, but it can also be misused. At PowerMatch, data ethics means using information in ways that improve matching, fairness, and transparency, never in ways that exploit people. We collect and use data only when it meaningfully improves the match between candidate and company.

Data ethics in practice at PowerMatch

PowerMatch works closely with applicable data protection law, but we aim to go beyond the minimum legal standard. We assess not only whether data use is lawful, but whether it is responsible. In practice, this means we collect only data that is necessary for meaningful matching, protect it through our own systems and controls, never share it without a clear purpose, do not buy external personal data, and give users insight into what we hold and how it is used.

AI and new technologies

PowerMatch uses AI to simplify and improve recruitment processes. We recognise that AI can reinforce bias if it is used without care, so we work from clear principles: people make the final decision, our systems should be explainable, protected characteristics are not used as matching criteria, and AI behaviour is monitored continuously to reduce hidden bias and unfair outcomes.

Data about candidates and customers

The information we process relates primarily to our core purpose: matching people with work. This includes contact details, experience, qualifications, job preferences, and company hiring needs. We retain data only for as long as needed to deliver our service and comply with applicable law. Candidates and companies can request insight into, correction of, or deletion of their data at any time.

Internal principles
  • We minimise the personal data we collect, design systems with privacy by design, document the impact of new features that affect personal data, and maintain clear procedures for handling errors, breaches, or unethical conduct quickly and transparently.

Trust and responsibility

Trust is the foundation of PowerMatch. Our users should feel confident that we treat their data with the same care we would expect for our own. We do not believe in data at any cost. We believe in responsible innovation that keeps people and technology moving in the same direction.
