  1. Introduction

At PowerMatch, we take data protection seriously. We work daily with data from both companies and candidates, and it is essential to us that this data is handled securely, lawfully, and responsibly. This privacy policy explains how we collect, use, store, and protect your information when you use our platform, website, or communicate with us.   1. Purpose of processing

We process personal data to deliver and improve our services. For candidates, this includes creating and maintaining your profile, matching you with relevant job opportunities, contacting you about jobs, interviews, and offers, and complying with legal obligations. For companies, this includes creating company profiles and user accounts, enabling job posts and candidate review, invoicing, support, and contract administration.

  1. What information we collect

We only collect information necessary to provide our services. For candidates, this may include name, address, phone number, email, work experience, education, qualifications, work preferences, uploaded CV, profile image, and responses in screenings or interviews, as well as system data such as login, device type, IP address, and platform usage. For companies, this may include contact details, company information, job posts, communication in the platform, and payment information. We also process communication and support enquiries, feedback, and consent records where relevant.

  1. Legal basis

We process data on the basis of consent, contract, legal obligation, and legitimate interest, depending on the purpose. This includes profile creation, CV uploads, contact preferences, fulfilment of agreements, accounting obligations, support, platform improvement, and abuse prevention.

  1. Storage and deletion

We store your data only for as long as necessary for the relevant purpose. Candidate data is deleted or anonymised after 24 months of inactivity. Company data is deleted when the customer relationship ends and statutory retention periods expire. Accounting records are stored for 5 years in accordance with Danish bookkeeping rules. Log data may be retained temporarily for security and troubleshooting. You can request deletion at any time by contacting kontakt@powermatch.dk.

  1. Sharing of information

We only share data when it is necessary to deliver our service and always under clear data processing agreements. This may include hosting and infrastructure providers, communication providers such as SMS and email services, and accounting or payroll systems where relevant. We never sell data and do not share it with third parties for marketing purposes.

  1. Transfers outside the EU/EEA

Some sub-processors may be located outside the EU or EEA. In such cases, we ensure that transfers take place on a lawful basis, for example through the EU Standard Contractual Clauses and appropriate security assessments.

  1. Security

We apply technical and organisational measures to protect your data against loss, misuse, unauthorised access, and disclosure. This includes encryption, access controls, monitoring, backup procedures, and ongoing security training. AI-based processing in PowerMatch is also monitored to reduce the risk of bias or unfair outcomes.

  1. Your rights

Under data protection law, you have the right to access your data, request correction, request deletion, restrict processing, receive your data in a structured format, object to processing based on legitimate interest, and withdraw consent at any time.
